Define the scope
Identify the exact equipment, drawing revision, calculation package, operating case and decision requiring review. Avoid a broad request such as 'please certify this' without defining the engineering object and boundaries.
Provide traceable inputs
Include drawings, dimensions, materials, loads, duty, relevant standards, inspection evidence and interface information. Where an input is assumed, label it as an assumption rather than allowing it to look like verified fact.
Close comments visibly
A disciplined comment-and-response record helps distinguish resolved issues from open engineering actions and preserves the verification trail for the project file.
